Welcome to the new LLNB Database (powered by Salesforce). For simplicity, you will either hear us refer to us as the database or salesforce. It means the same thing. So if we say, log onto the database or log onto Salesforce, the intent is the same.
Salesforce is a customer relationship management system (CRM). It has been configured for Laubach Literacy NB by cloudStack Services so that we can use it as a secure database with individual portals for each of tutors to access their learner's information.
Like our previous database, each council can see only their own tutors and learners. All tutors will login through a secure portal where they will only have access to their own learner's information. The tutor portal will also have direct links to all of our continuing education pages.
The new system has a lot of functionality - in some ways too much as it can be overwhelming and we don't want you overwhelmed. Our primary focus at this time is the database as it pertains to tutors and learners but you will notice as soon as you open a contact sheet that it can also be used as a donation management system (that's a little ways down the road, but it's coming.) The first videos is to get you familiar with the basics of adding a new tutor or learner, adding assessment info, goals and sessions notes. We will do more videos in the near future to show you some of the reporting and other features
All of your current/active tutors and learners from the old database have been transferred to the new database. You will have continued 'archive' access to the old database, so if a learner or tutor suddenly reappears and they aren't in the new system, you can look them up on the old system and transfer the information (create new contacts, profiles and assignments). We have transferred over in most cases that last six months to a year of session notes, but if a tutor needs access further back, that is also still available on the old system.
One thing you will note is that tutors are not required to separate their preparation time and their tutoring time. They can still feel free to make a separate session note for each, or simply tack on their preparation time to notes for the tutoring session.
